The physical condition of any document, book, map or illustration and its preservation for the future is our foremost concern. The copying process therefore varies according to the condition and nature of the item to be copied and in some cases copying may not be possible at all.

PHOTOCOPIES

Same size and enlarged copies of original material are available up to a maximum finished size of A3. All copying is done by staff but can only be done on demand during quiet periods. Copying which cannot be done during a reader visit will be kept for collection, or if paid for in advance, sent by post.
Current rate per sheet, A4: 20p A3: 30p
Photocopying is not a suitable process for many items (see below for restrictions).

RESTRICTIONS ON PHOTOCOPYING

The following types of material cannot normally be photocopied if:

  • An alternative exists to copy from, i.e. microfilm, photograph or other photocopy
  • It is larger than A3
  • It has brittle, torn or fragile parts
  • It is a tightly rolled item
  • It is guarded and filed
  • It has pendant or vulnerable seals attached
  • It is a book too heavy to turn upside down
  • It has a tight binding
  • It is an original photographic image
  • It is a second or subsequent sheet of a document which cannot be removed from its attachments
  • It is a fold-out which is larger than its covers
  • It is a coloured manuscript item
  • For Ordnance Survey and Goad plans still within copyright, only A4 sections can be supplied

MICROFILM/FICHE

If a document is available on microfilm/microfiche, then a copy will be taken from this which will take at least one working day. Copies can be kept for collection, or if paid for in advance, sent by post.
Current rate per sheet: A4: 40p A3: 60
New filming can also be arranged at a minimum charge of £35.
 
PHOTOGRAPHIC PRINTS

Black and white prints can routinely be supplied up to 16" x 20". Transparencies and colour prints can also be supplied but take longer to process. You will be asked for payment in advance if the copies have to be posted to you. Depending on the size of your order, you may also be asked for a deposit even if you intend to collect the prints personally.


PHOTOGRAPHY USING OWN CAMERA

This is permitted using a camera without flash as long as there is no risk of damage to the original and no breach of copyright. A copyright marker must be used and a declaration signed. The use of scanners is not allowed. Permission must be obtained from a member of staff before photographs are taken.
A fee of £5 is payable

SURCHARGES

The Local Collections reserve the right to charge an additional £10 if requests for copying are not sufficiently specific to enable easy identification of the material to be copied.
 
PUBLICATION AND COPYRIGHT

You are reminded that copies are supplied for private study or use and that publication or further reproduction in any form requires permission from the Head of Local Collections . A reproduction fee may be charged.
